The print load

What a depot actually prints.

From shipping labels and dispatch notes to proof of delivery and customs paperwork, logistics teams depend on accurate printing to keep goods moving through the supply chain.

Shipping labels and barcodes

The output the whole chain depends on. A smudged barcode at the depot becomes a failed scan at the door and a phone call from the customer.

Dispatch notes and manifests

Multipart documents that have to reach the right printer at the right point in the pick, not the nearest one somebody could find.

Proof of delivery

Captured, indexed and searchable for the query that arrives three weeks later.

Customs paperwork

Accurate documentation for goods that cannot afford to wait at a border.

NCR and variable data

Replicate printing for carbon forms, and variable data printing for custom labels.

Where should this print?

The right document, the right printer.

Intelligent print routing exists because the nearest printer is almost never the right one. Pick a document and see where it should go.

Which document?

This describes the routing, not your setup. Which device sits at which point in your pick is what the free audit works out, on your own sites, against your own volumes.

Shipping label

A dedicated label printer, at the pack bench.

Labels are the output the whole chain depends on, and the one most often sent to a device that was never specified for them.

  • Dedicated label hardware. Label and desktop printers deployed across the warehouses alongside the multifunction devices, rather than instead of them.
  • At the point of pack. Routing sends the job to the device at that stage of the pick, not to whichever printer was closest to the person who pressed print.
  • Variable data printing. VDP for custom labels, so the content changes without the process changing.
  • Consumables that cross over. Standardised media, so a depot is never held up by a cartridge only one site stocks.

Routing described here is what intelligent print routing does. Which printer sits where on your sites is settled by the free audit.

How we help

Precision, speed and control.

We start with a full evaluation of your current print and label-generation setup, then build a strategy combining the right hardware, intelligent software and proactive service, without adding complexity to an operation that has plenty already.

  • Eliminate device downtimeRemote diagnostics and automated toner replenishment, so a depot never stops for a consumable.
  • Cut cost and consumable wasteFleet rationalisation and usage analytics show where the spend actually goes.
  • Get the barcode rightAccurate barcode, shipping and dispatch printing, because a failed rescan costs far more than the label did.
  • Give managers visibilityCentralised oversight and detailed usage reporting, for operations and IT alike.
Case study

What it looked like at a UK distributor.

UK distribution company

One standard across every depot.

A UK-wide distribution business was running an ad-hoc printer fleet scattered across depots. Without a standard, sites faced high support costs, incompatible consumables and slow, inconsistent printing of pick lists, dispatch notes, labels and proof of delivery.

What they needed

  • A consistent printing environment across every site
  • Devices rationalised and standardised to simplify support and cut waste
  • Automated toner management, with less operational burden
  • Faster, more accurate shipping labels and logistics documentation

What we did

We deployed a combination of robust multifunction devices and dedicated label and desktop printers across the warehouses and offices. Intelligent print routing sends multipart documents such as shipping notes to the most suitable printer for that point in the process, and standardised drivers with cross-compatible consumables cut the support complexity that came from every depot buying its own.

How it landed

Stock control got simpler because there are far fewer consumable lines to hold, toner replenishes without anybody raising a request, and dispatch and proof-of-delivery documents print faster and more accurately than they did before.

Outcomes are reported as Insight Systems states them. No percentages or costs are published for this deployment, so none are given here. The customer is not named.

Free print audit

Find out what your depots are actually spending.

Fill this in and a member of the team will be in touch to discuss your requirements in more detail. There is no obligation and nothing to pay.

  • Warehouse, depot and office. One standard across all three, with consumables that cross over instead of multiplying.
  • Labels that scan first time. The right device for barcode and dispatch output, because a rescan costs more than the label.
  • Our own engineers. Trusted since 2003, ISO 9001, 14001 and 27001 certified, averaging a 2.22 hour response.
  • You keep the findings. Whatever you decide afterwards, the audit is yours.
