Appointed to Procurement Services.
Insight Systems has been appointed to the Procurement Services Framework, formerly K.C.S, for Lot 1 multifunctional devices and Lot 3 heat-free inkjet printers. It is recognised by the Department for Education, so schools, academies, local authorities and other publicly funded organisations can appoint us through a compliant route without running their own tender.
A compliant route, already competed.
The Procurement Services Framework, formerly K.C.S, gives schools, academies, local authorities and other publicly funded organisations a compliant and efficient way to buy print. Appointment to it follows a rigorous evaluation, so a buyer can take it as read that an approved supplier has been assessed on quality, value, service delivery and compliance.
We hold two lots on it. Lot 1 covers multifunctional devices. Lot 3 covers heat-free inkjet printers, which is the Epson technology that cuts energy use by removing heat from the printing process.
See Epson Heat-Free- Recognised by the DfEThe framework is recognised by the Department for Education, which is what makes it a route an education buyer can defend.
- Evaluated before appointmentSuppliers are assessed on quality, value, service delivery and compliance before they get on it, so that work is already done when you get to us.
- Two lots, not oneLot 1 for multifunctional devices and Lot 3 for heat-free inkjet, so the framework covers both a conventional fleet and the lower-energy alternative.
What the framework settles for you.
Four things a buyer would otherwise have to establish from scratch.
Simple procurement
A fully compliant and straightforward purchasing route. The competition has already happened at framework level, so there is no tender for your team to run, write up and defend. For a school or a council that is usually the single biggest cost of buying anything, and it is the part the framework removes outright.
Cost savings
Competitive pricing and a strategy built around what you actually print.
Sustainability
Print choices that count towards green targets rather than working against them.
Security and compliance
Print management that supports data security and the regulatory requirements a publicly funded body has to meet. Documents release to the person who sent them, access is controlled at the device, and there is a record of what happened. On top of that, energy-efficient devices and Epson heat-free inkjet cut energy use and carbon emissions, which feeds straight into ESG reporting.
The framework supplies hardware. We supply the service.
Appointment to a framework tells you a supplier has been vetted. It does not tell you what happens after the devices arrive. This is the part that decides whether the estate still makes sense in three years.
See Print Management- Print auditsWe measure what your sites actually print before recommending anything, so the fleet is sized to real demand rather than to a standard package.
- Fleet optimisationDevices matched to the volumes and the places that need them, then reviewed as those change.
- Proactive maintenanceFaults picked up and dealt with rather than waiting for someone to report a machine that has been down for two days.
- Consumables managementToner arrives before it runs out, so nobody keeps a cupboard of cartridges for devices you no longer have.
- Ongoing account supportA named point of contact who knows your estate, rather than a ticket queue that starts from nothing each time.
Why this one mattered to us.

This appointment allows us to further support organisations in achieving their print management goals with confidence and compliance.
Who buys through it.
The framework covers education and the wider public sector. These pages go into what that looks like in practice.
Buying through the framework?
Tell us what your sites print and we will put together what it would look like under Lot 1 or Lot 3. No tender to run, and a first conversation costs nothing.
